Customer Feedback Email Examples

Last updated: September 25, 2026

These customer feedback email examples show how an online store can ask for feedback and actually get replies: quick questions after delivery, product review requests, short experience surveys and follow-ups that tell customers what changed. For each one you get a subject line, preview text and body copy ready to edit, with timing tied to real triggers such as delivery, a support ticket or a return.

Running a WooCommerce store?

We set up and run flows like this one for you, triggered by your store's order and customer data, and improve them every month.

Post-Purchase Feedback Emails

Short emails sent after an order arrives, asking how the experience went while it's still fresh. They catch problems early, before they turn into refunds or bad reviews.

Delivery Check-In Question

Subject: Did your order arrive okay?
Preview: Hit reply and tell us in a sentence. If something went wrong, we'll fix it.
Hi [first name],
Your order [order number] should have arrived by now, and we'd like to know how it went.
Did everything show up on time, in one piece and as described? Just hit reply and tell us in a sentence, or use the button below if that's easier.
If something wasn't right, a real person on our team will get back to you within one business day and fix it.
[Tell Us How It Went]
Thanks for helping us improve,
[Store name]
Send two days after the carrier marks the order delivered, not on a fixed delay from the order date, so late parcels don't get a premature email.

Founder Note to First-Time Buyers

Subject: A question from our founder
Preview: I read every reply myself. What almost stopped you from ordering?
Hi [first name],
I'm [founder name], and I started [Store name] in [city] with [short origin detail].
You placed your first order with us last week, and I have one question I ask every new customer: what almost stopped you from buying?
Maybe it was shipping costs, sizing or just not knowing us yet. Whatever it was, hit reply and tell me. I read every answer myself, and they shape what we fix next.
[Reply to This Email]
Thanks for giving us a try,
[founder name]
[Store name]
Send seven days after a customer's first order is delivered, from a real person's name and reply-to address, as plain text with no images.

Ask Regulars What to Make Next

Subject: You know our products best. What's missing?
Preview: We're planning what to add next and want input from people who actually use it.
Hi [first name],
You've ordered from us [number] times, which makes you one of the people whose opinion we trust most.
We're planning what to add next, and we'd love your input on three quick questions:
What do you wish we sold that we don't?
Is there anything you've bought from us that you'd change?
What would make you order more often?
Reply with as much or as little as you like.
[Share Your Ideas]
Thanks in advance,
[Store name]
Send to customers with three or more orders, about three weeks after their latest delivery, a month or two before you plan new products.

Product Review Request Emails

Review requests timed to when the customer has actually used the product. Honest reviews help future shoppers decide and show you which products need work.

Review After Real Use

Subject: How's the [product name] working out?
Preview: You've had it for [number] weeks. A two-line review helps the next person decide.
Hi [first name],
You've had your [product name] for about [number] weeks now, long enough to know whether it lives up to the description.
Would you write a short review? Two lines is plenty. Tell us what you use it for, what you like and what you'd change. Honest reviews, including the critical ones, help other shoppers choose well and help us improve.
[Write a Review]
Many thanks,
[Store name]
Send 14 days after delivery for everyday products, or 30 days for items that take longer to judge, like skincare or supplements.

Photo Review Request

Subject: Show us how you're using it
Preview: A quick phone photo with your review shows shoppers what our studio shots can't.
Hi [first name],
Thanks for leaving a review of your [product name]. One more small favor, if you have a minute.
Would you add a photo? It doesn't need to be polished. A picture of it at home, on a shelf or in use shows future customers the real size, color and feel far better than our studio shots.
You can upload it straight from your phone in under a minute.
[Add a Photo]
Much appreciated,
[Store name]
Trigger three days after a customer submits a text-only review, for products where size, fit or finish is hard to judge from product photos.

Fit and Sizing Feedback

Subject: Quick sizing question about your order
Preview: Too small, true to size or too big? Your answer updates our size guide.
Hi [first name],
You ordered the [product name] in size [size]. Now that you've worn it a few times, how does it fit?
Runs small
True to size
Runs large
Pick one on the next page and add a note if you like. We use these answers to update the fit notes on each product page, so the next shopper picks the right size the first time.
[Rate the Fit]
Thanks,
[Store name]
Send 10 days after delivery for apparel and footwear orders, and skip customers who have already started a return or exchange on that item.

Experience Survey Emails

Short surveys about a specific moment: checkout, a support conversation or a return. They show where the store experience breaks down, which reviews rarely reveal.

Support Conversation Rating

Subject: How did [agent name] do?
Preview: Rate your recent chat with our team. One click, and it goes straight to them.
Hi [first name],
You recently talked with [agent name] from our customer care team about [issue summary]. We'd like to know how it went.
Was your problem solved, and did it feel easy? Rate the conversation with one click, and add a comment if you have one. Your rating goes straight to [agent name] and their team lead.
If the issue still isn't fixed, reply to this email and it will reopen your ticket.
[Rate Your Conversation]
Best regards,
[Store name]
Send 24 hours after a support ticket is marked solved. Limit it to one survey per customer every 30 days so frequent contacts aren't over-asked.

Return Reason Survey

Subject: Your return is processed. Can we ask why?
Preview: Two questions about what went wrong, so the next order goes better.
Hi [first name],
Your return for [product name] is complete, and your refund of [amount] is on its way. It should appear in [number] business days.
Could you tell us what didn't work? There are just two questions:
What was the main reason for the return?
What would have made you keep it?
There's no wrong answer, and nothing you say affects your refund. It simply helps us describe products better.
[Answer Two Questions]
Thanks for your honesty,
[Store name]
Send as soon as the refund is issued, not when the return is requested, so the customer isn't worried about the refund while answering.

Checkout Experience Survey

Subject: Was checking out as easy as it should be?
Preview: Three quick questions about paying, shipping options and anything that slowed you down.
Hi [first name],
Thanks for your recent order. We've been working on our checkout and want to hear from people who just used it.
The survey has three questions and takes about a minute:
How easy was it to find the shipping option you wanted?
Did you have the payment method you prefer?
Was anything confusing or slow?
Every answer is read by the person who builds our checkout.
[Take the One-Minute Survey]
Thanks for your time,
[Store name]
Send one hour after an order is placed to a random sample of customers for two to four weeks after any change to your checkout or shipping options.

Feedback Follow-Up Emails

Emails that close the loop after someone gives feedback: thanking them, fixing a problem or showing what changed. They prove replies are read, so customers keep answering.

You Asked, We Changed It

Subject: You asked for [change]. It's here.
Preview: Your feedback in [month] led directly to this. Thank you for taking the time.
Hi [first name],
A few months ago you told us [summary of their feedback]. You weren't the only one, and we listened.
Starting today, [what you changed]. Here's what that means for you:
[benefit one]
[benefit two]
Feedback like yours is the most useful thing a customer can give us. Please keep it coming, good or bad, by replying to any of our emails.
[See the Change]
Thank you for speaking up,
[Store name]
Send when you ship a change customers asked for, only to the people who requested it, tagged from survey answers or support tickets.

Response to Negative Feedback

Subject: We're sorry, and here's what we're doing about it
Preview: You told us your order fell short. You were right, and we want to fix it.
Hi [first name],
Thank you for telling us about [problem]. You didn't have to, and we're glad you did.
You're right: that isn't the standard we hold ourselves to. Here's what we've done:
[fix for this customer, such as a replacement or refund]
[change made so it doesn't happen again]
If there's anything else we can do, reply here and it comes straight to me.
[View Your Order Update]
Sincerely,
[support lead name]
[Store name]
Send within one business day of a low rating or complaint, written by a person rather than automated, once you have a fix to offer.

Thanks for Your Review Note

Subject: Your review is live. Thank you.
Preview: It's already helping other shoppers decide. Here's what happens next.
Hi [first name],
Your review of [product name] is now live on our site. Thank you for taking the time to write it.
Here's what happens next: our product team reads every review each month, and yours goes into that pile. If you mentioned a problem, someone will reach out to you personally.
